Getting started.

Create a folder/directory on your   C:\ drive and call it 'HRInterview'

Unzip all files to this folder/directory 

Instructions

MAIN MENU

Select the button 'Interview And Candidate Information'.

There are 3 main records in the system.
Paul Barrett, Joanne Cross and  Sue Hart

Use the search facility at the top to move through these records.

As an example to get you started, select the name 'Paul Barrett'

Navigate through the various tabs and become familiar with the data.

To enter or change a date , double click each date box to bring up a calendar on screen.


CONTACT TAB

General contact details of the candidate such as address,telephone,email. If they are a current employee of your company their payroll ID can be entered. You can also add this contact to MS Outlook automatically from here.

EDUCATION TAB

Schools/Universities/special learning establishments attended along with qualifications obtained

SKILLS TAB 

Relevant candidate skills for the job. These skills are used whenever you use the skill builder facility to filter out suitable candidates for jobs.  Notes can also be added here.
At the skills tab select the category box. Sample categories are available for various office skills. You may add your own elsewhere in the system. The left hand box lists the skills in each category. The right hand box contains the skills you have selected for this candidate. You can mix and match categories. For example Paul Barrett has Access (computer category) and Motivator (Management category). 

HISTORY TAB 

Current employer details. Facility to store the path of the candidate's resume. The resume can then be viewed by clicking the 'View resume' button. There is also a facility to view previous employers.

INTERVIEW TAB 

Details of the interview such as the job title,department,salary,relocation,source (agency,newspaper etc),results of any tests taken,interview time , date,further interview, result of interview etc. You can set the interview as an MS Outlook appointment and email from this screen also.

CHECKLIST TAB 

Tasks to complete such as chcking qualifications,references,birth certificate,work permit. The start date and time of the job. Any special needs of the candidate and useful notes facility. You can also set up references for this candidate from here.

PREVIOUS EMPLOYERS SCREEN

Ability to add previous employers and view all currently held for the candidate. Also you can get to the related projects screen from here.

PROJECTS SCREEN

Ability to add related projects to previous jobs and view all currently held for the candidate

AGENCY SCREEN

Details of any job agencies used in recruiting the candidate. You can email them from this screen, print  or add as a contact to MS Outlook.

REFERENCES SCREEN

Contact details for each reference relating to the job candidate. Related references are shown and you can move to these by clicking on the name in the other refs box.


MAIN MENU

Select the button 'Skill builder to filter candidates'

This screen is used to build up a picture of candidates suitable for each job. By selecting a skill within each category you can find suitable candidates.

1. Click the 'Category' drop down button at the top left.

2. Select a category such as computer.

3. Double click a required skill or use the arrow buttons, for example  select 'Access,Dos and     Wordperfect'.

4. Click the 'Build' button.

    You will see 3 suitable candidatess - Paul Barrett,Joseph Hall and Joanne Cross.

5. Single click each name to see some brief contact details on the right hand side.

6. Double click a name from the search results box to view complete details.
    At the main system screen you can use the 'Refresh' button to view all names held in the        system again.    The search candidate feature will be disabled until you click the refresh button    to reset the system to the main list of all records again.

7. If you wish to see further details of all the candidates found, click the 'Filter All' button.

(To add more categories, go to the main menu and select 'Update Information'. From here select  'Key Skills Category'.)

MAIN MENU

Select the button 'Update Information'.

This is where you set the various parameters used throughout the system. For example departments,ethnic groups,reasons for leaving, job skills,key skills Category etc.

Select the button 'Mailmerge'.

NOTE: You will be using MS Word templates for each mailmerge. Make sure you unzipped all sample templates to a folder/directory you created on your C:\ drive called 'HRInterview'

The sample MS Word documents you should have are :

AppConsider.dot
EmpOffer.dot
FirstInterview.dot
Refs.dot
Reject.dot
Resume.doc
SecondInterview.dot

Also make sure you have filled in as much information on the main tab screens. 

1. Highlight the names 'Jackie Graham' and 'Paul Barrett'. Double click these names or use the     arrow keys to select the names for a mailmerge.

2. Select the letter to be used in the mailmerge..for example select 'Job offer'.

3. Make sure MS Word is not open. Click the button 'Start' and the mailmerge will begin.

Select the button 'Agency'. See previous agency details description for more information regarding this screen.

Highlight a report.  You will see a description on screen.

Press the 'Preview' button.

The candidate summary report allows you to use the drop down candidate selector at the bottom of the form to print the individual candidate or all candidates.

To leave the system, click the 'QUIT' button.
